Data entry
Whereas the application is quite easy to use it is important that the User recognises the importance of the organisation of the source documents that includes allocating the Account's that will be used for each transaction.All screens presented for data entry are created in table form with each column clearly titled.
Details are taken from the source document and entered in the appropriate fields. The HELP description gives step by step guidance for data entry.
In the case of Invoice entry, provision has been made to enter details in summary form (single line entry) or by each individual line item shown on an invoice (multi line entry). This is particularly helpful when differing products appear on one invoice and need to be accounted for separately. A product code feature has also been included in the system to further analyse goods/services sold or received.
When stored information is held for such as Dates, Customer/Supplier Names and Accounts etc. retrieval and re-entry is automated wherever possible.
Receipts and Payments are simple to enter. Users will need to match the bank or cash transactions to the sales or purchase invoice details retrieved by the system. There is an automatic link to the bank and cash reconciliation summaries that are dealt with separately.
